Job Summary:

Working in collaboration with the TXOGA staff, the Events & Membership Assistant provides coordination, implementation and evaluation of the Association’s events and assists the membership team with member relations, recruitment, and record keeping.

Responsibilities:

  • Managing all event operations including venue management, speaker needs, audio and visual logistics and guest experience.
  • Coordinating all pre-event production like fundraising, registration, venue selection, speaker outreach, catering selections and marketing.
  • Creating cost-effective budget analysis for Association’s events and tracking all expenses/income until duration of event. Expected to either meeting or exceeding financial goals.
  • Coordinating all virtual events with audio and video production, technology platform research and preliminary speaker needs.
  • Assist in the development and implementation of marketing plans and materials for the Association and its activities, including but not limited to member recruitment and retention, marketing and promotion of member services, partnership and educational activities.
  • Assisting Membership Vice President with membership communication and engagement, including Board of Directors outreach and relations.
  • Entering new member data, processing and tracking membership invoices through Association’s membership database, YourMembership.
  • Assisting Finance Department by processing incoming checks, credit card and ACH payments.
  • Attending industry related events as Association’s representative.
  • Creating basic graphic design through Canva or similar program for marketing materials.
  • Drafting reports for membership during State of Emergency disasters with impacts on industry operations, like COVID-19 and other natural disasters.
  • Assisting Communications Team with preparing weekly newsletter to TXOGA members, using NationBuilder.
  • Assisting Policy Division and Political Action Committee with event planning & coordination.
  • Assisting Executive Leadership with assigned projects, as needed.
  • Other duties as assigned.

  • Bachelor’s degree required and 3 years work experience
  • Exceptional team building and problem-solving skills.
  • Extremely detailed-oriented and reliability on personal time management with tasks.
  • An ability to work independently, take initiative and manage numerous projects simultaneously.
  • Well-developed written and oral communication skills, including speaking as a representative on behalf of the Association.
  • Adaptability to navigate unprecedented circumstances, including a work from home environment, if necessary.
  • Must be willing to learn the Association’s history and different industry process logistics.
  • Computer Skills: Outlook, Word, Excel, Power Point, Adobe. Ability to learn new technology and software applications. General database, website and basic software experience such as Canva is desirable.
  • Non-profit/trade association experience preferred.
