Columbia Business School is seeking an Associate Director to work with the School???s Chief Marketing and Communications Officer (CMCO) and the marketing and communications team broadly. This individual will provide proactive, responsive, and effective executive level assistance and will play a key role in the operations within the marketing and communications department.
The Associate Director will independently oversee a variety of critical areas for the CMCO and department, including time allocation, budget management, project management support and will continuously act as a liaison for the CMCO with both internal and external stakeholders. This individual must have strong interpersonal skills, exercise independent judgement, and be able to work on several projects simultaneously. They will represent the CMCO and larger team in a positive light through great follow-through skills, consistent prioritization, and sound judgment based on the strategic needs of the department.
Independently manage and maintain the Chief Marketing and Communications Officer???s (CMCO) calendar, meetings, and relevant marketing and communications group events.
Analyze and audit budget, which includes, but not limited to, purchase orders, invoices, expenses, working closely with the Financial Planning Office. Oversee the budget reporting process for the department, including, preparing reporting for senior leadership.
In partnership with the Project Manager, oversee high-level, multi-stakeholder priorities, timelines, and deliverables for high-visibility, complex specialty projects and initiatives (i.e. Manhattanville). Communicate with stakeholders on all project management requirements as they arise.
Research, write, and develop high level correspondence, including, but not limited to, presentations, agendas, reports, templates, and other related materials for CMCO and the department, as needed.
Manage key CMCO and department meetings. Work independently to ensure that all activity from meetings are fully represented through meeting minutes and that necessary meeting follow-up has taken place, including, but not limited to, relevant information being shared afterwards, questions posed during meeting are answered, follow-up meetings are scheduled, and deliverable dates met.
Oversee travel and event management related to conferences, trips and itineraries, including arrangement of flight and accommodation bookings, as needed.
Research and analyze information need to create background information, documents, and other relevant knowledge material for CMCO. Research and interpret data needed for campaigns, and other programs and initiatives.
Work to develop an effective system to ensure all communications are tracked and responded to efficiently and effectively. Ensure key correspondence is handled in a timely fashion, using independent judgment and initiative.
Create and implement strategies for operational, process, and reporting improvements.
Work on other duties and projects as assigned in direct support of the CMCO.
Bachelor's degree required. Minimum 4- 6 years related experience required.
Must have demonstrated excellent organizational, interpersonal, communication, and presentation skills. Should be detail oriented and have experience planning and managing high-level meetings. Must be proficient in MS Word, Excel, PowerPoint, and databases. Needs to be able to work independently and under pressure, managing multiple tasks simultaneously in a fast-paced environment. Excellent at problem-solving, taking initiative, and being very resourceful required. Must be able to manage multiple projects with changing deadlines. High level of professionalism and confidentiality needed. Tact, diplomacy and the ability to exercise discretion and judgment in matters that are sensitive and confidential is required. Must be resourceful and effective in accomplishing critical tasks.
5+ years related experience supporting senior-level executives strongly desired.
