Basic Function and Responsibility: The Advancement Communications Coordinator will strategically coordinate, in collaboration with EMC, Advancement and other University departments, all Advancement communications pieces that reach alumni, parents, donors and friends. This includes but is not limited to email communications and mailed communications. This position will oversee and develop the Advancement Communication Calendar and will work closely with the Advancement Communication and Marketing team to ensure the effectiveness of communications across all channels
Manage and oversee the Advancement Communication Calendar and request process for all Advancement communications, ensuring the entire Advancement division is aligned in our communication, segmentation, messaging and timing.
Coordinate the list requests, manage the opt ins/outs of communications within the Advancement Communication Calendar, and ensure that the communication is sent in a timely fashion.
Coordinate with the Advancement events team, and University Events team, on list requests, constituent communications, registrations processes and post event analytics for all Advancement events, as needed.
Oversee communications within the Office of University Advancement, utilizing a regularly scheduled communication piece to inform staff of policy/procedural changes, celebrations, upcoming events, appeal and communications, and general department news.
Serve as a liaison between Advancement and outside divisions who are in need of communication, fundraising and list request services. This includes serving as a representative of lists within the Raiser’s Edge database as external departments request contact information from the database, integrating these requests into the communication calendar and overseeing the process to ensure that we are targeting the right audiences for each communication, working with Deans as needed to coordinate communications.
Send out weekly communication reports to advancement staff to ensure all parties understand the scope of our communications.
Maintain thorough knowledge of Blackbaud’s online platform, NetCommunity, and utilize the tool for Advancement communication requests, including the development of: donation pages, event registration pages, populating email templates, routing for approvals, adjusting HTML, and facilitating email marketing jobs for Advancement and outside departments, as needed.
Serve as project manager for the annual Christmas list and gift project, in partnership with key Advancement staff, including but not limited to list management, gift distribution, fulfillment, and coordination.
Oversee the Advancement appeal and events log, keeping track of all appeal ID and codes, or utilize Raiser’s Edge NXT for these functions.
Work alongside Advancement leadership to provide ongoing analysis, observations and feedback to help inform the advancement team of their communications strategies. Stay on top of trends to ensure maximum open rates and reduce unsubscribes. This should include a review of analytical data, providing observations and feedback to help the advancement team inform their communications strategy for the following year.
Coordinate content development, in partnership with the Digital Marketing Specialist, for all Advancement e-newsletters, email, and digital communications. This position will work with various departments to ensure that all messages that are sent out of the Advancement division, and broader university, comply with the Biola style guide and are in compliance with university brand standards.
Serve as the Advancement point person for the University's Mass Email Policy, and work according to policy procedures.
Work in partnership with the Director of Annual Giving on Biola Fund list requests, segmentation, and sequencing.
Regularly review email templates in MailChimp and NetCommunity, ensuring brand alignment.
As needed, serve as a project manager with EMC for design pieces related to all mailing and registration requests, ensuring excellence and timely completion throughout the whole process.
Supervision Received: Digital Marketing Manager
Bachelors degree, with 2 years of marketing and communication experience in journalism, marketing, development, alumni relations or other comparable fields.
Outstanding verbal and writing skills, high attention to detail and follow-up
Demonstrated superior skill and flexibility to establish priorities, organize tasks, and direct effective implementation of tasks in a high-pressure environment
Excellent copywriting, proofreading and editing skills
Exceptional customer services skills
Self-initiating person, organized and able to work independently
Direct knowledge and experience with CRM databases such as Raiser’s Edge and NetCommunity.
Experience with Microsoft Office Suite and Google Suite
Ability to think strategically about complex issues and to work with multiple resources to find solutions
