Alumni Affairs and Development (AA&D) comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.
Harvard Alumni Association (HAA) The HAA is the official association for all of Harvard University's alumni. The HAA is responsible for University-wide alumni initiatives and works with all Harvard Schools, including the FAS, to increase alumni engagement. The HAA is also the home of the Harvard and Radcliffe College Alumni Programs Office. The HAA supports a global network of volunteers who organize alumni through Harvard Clubs, Shared Interest Groups, college classes, and graduate and professional School organizations.
This position provides primary administrative support to the Harvard Alumni Association's (HAA) Engagement Marketing team and provides reception coverage for the HAA as a whole. Key aspects of the role include managing a variety of research projects, providing support for the HAA's four social media channels, managing the process for video captioning, as well as a wide variety of other projects and administrative tasks related to the broad work of the Engagement Marketing team. This position also answers the HAA phone line and will staff the 6th floor reception desk if/when there is an official full return to the office. The candidate should expect to work in a fast-paced environment with regular shifting priorities and a large variety of projects. This non-exempt full-time Staff Assistant additionally provides administrative support to the Director of Engagement Marketing including calendar management, expense reporting, and note taking.
Regularly monitors four HAA social media networks including tracking replies, retweets, and communicating regularly with the Assistant Director, Engagement Marketing about any issues or flags that arise. This position also manages responding to direct messages across a variety of social networks to ensure alumni outreach receives a timely response;
Provides writing support for Twitter content;
Plays a primary role in curating content and events across Harvard for social media channels and the HAA's monthly event newsletter, Harvard at Home;
Archival and other research to support the marketing efforts of the Engagement Marketing team;
Provides back-up support to the entire Engagement Marketing team on a variety of projects including maintaining and updating marketing calendars, managing and maintaining list pulls and marketing reports; and other duties as assigned across a wide variety of work;
Manages and regularly updates the Engagement Marketing team's section on AAD's intranet, The Source;
Regularly process invoices and expense reports for the engagement marketing team;
Provides administrative support to the Director, Engagement Marketing;
This position answers the HAA phone line and provides email support to alumni with questions regarding the Alumni.Harvard community, user registration, and navigation through the Harvard Alumni Association website;
Verifies and approves requests to access the alumni Facebook and LinkedIn Groups;
Manages vendor who provides captioning for all HAA video content and regularly manages YouTube uploads of videos to the HAA YouTube channel;
Communicates announcements as needed to HAA staff;
Upon the possibility of a full return to office, staffs the HAA reception desk throughout the business day, greets and directs visitors as they come into the office; and answers additional HAA phone lines.
Other duties as assigned, including occasional administrative projects, staff training, and management of HAA office maintenance issues as needed.

At least 1-2 years of related experience in office administration required with customer service preferred. Education beyond high school may count towards experience.
Strong attention to detail.
Excellent verbal and written communication skills.
Experience with Microsoft Office (i.e. - PowerPoint, Word, Excel, Outlook, etc.).
BA/BS from accredited institution preferred;
Strong organizational skills and attention to detail; ability to manage multiple competing priorities at once;
Demonstrated ability to work both independently and collaboratively;
Must have the ability to deal effectively and graciously with people from different backgrounds;
Comfortable working in a fast-paced environment with an ability to be flexible and nimble and quickly adapt to new directions and approaches;
A customer-oriented mindset with strong customer service experience preferred;
Level of comfort working in Excel preferred.
