Reporting to the Divisional Chair, the Associate Director assists the chair by providing overall administrative and financial management oversight of the Division. The Associate Director has complete oversight of the teaching schedule for all MBA, EMBA, M.S. and Ph.D. courses. The candidate assists the chair with recruitment and hiring of the Business School adjunct faculty which positively impacts the students??? experiences.
This position administers the research, instructional, and seminars budget and supervises a staff of administrative assistants, various casual and work-study employees on a project by project basis.
Works on a variety of projects assigned by the divisional chair and other Marketing faculty related to management of the division. Meets regularly with the chair and faculty committee chairs.
Independently develops, updates and revises the teaching schedule for all divisional MBA, EMBA, M.S. and Ph.D. courses each term (approximately 140 sections a year); estimates future teaching needs and course offerings, working closely with the Office of Student Affairs, the Samberg Institute and the Dean???s office. Prepares staffing plans and ensures that all course descriptions are accurate and complete.
Creates and updates webpage information; assists with logistics of course development process. Develops and distributes the Columbia Marketing Quarterly Newsletter.
Representing the Divisional Chair and working with the Financial Planning Office, maintains and reconciles the department budget, the seminar budget, the faculty search budget, and the divisional discretionary budget. Responsible for troubleshooting and managing any account discrepancies.
Gathers and reports on metrics that relate to program management, i.e. enrollments, sections offered, student/faculty rations, etc. Provides analysis and feedback to the Divisional Chair when appropriate, including marketing strategies for attracting new students.
In concert with the Dean???s office, manages the Division???s full-time faculty search process. Develops and places ads as approved by the Provost???s office, creates and updates databases and implements procedures to ensure that the search process complies with University???s affirmative action guidelines. Acts as the departmental resource person for affirmative action process; independently administers the search budget.
Manages all conferences, seminars, all sponsor-related programming, and other events. Directs administrative arrangements for two major annual seminars- including inviting guest faculty from peer Business Schools- annual Marketing Camp, 4-School (Columbia, NYU, Wharton, Yale) annual conference, as well as non-annual conferences.
Monitors and tracks faculty accomplishments, milestones, and academic contributions relative to tenure, appointment and promotion guidelines. Oversees creation and timely submission of documents in support of faculty promotion and tenure cases. Reconciles database detailing each faculty member???s teaching responsibility, including courses taught, course relief earned (including circumstances and justification), courses deferred, and deviation from the normal teaching load, sabbatical earned, taken or deferred.
Executes the Marketing Division???s Visiting Scholar Program, including monitoring the assignment of space in the Visiting Scholars Lab (Room 500). Liases with Chazen Institute colleagues to execute visa processes on Visiting Scholars??? behalf. Manages visa processes for all adjunct faculty and division interns.
Oversees administrative staff, manages workflow (including external events) implements Human Resources policies and guidelines among support staff and officers.
Bachelor???s degree is required. Advanced degree is strongly preferred. Minimum 4-6 years of related experience required.
The candidate must have the ability to communicate effectively to a variety of constituent groups; the ability to coordinate multiple projects simultaneously; and excellent communications, written, and interpersonal skills. In addition, the candidates must demonstrate initiative, discretion, ability to establish priorities, and independent judgment, and be able to work occasional evenings if needed.
