The Office of the Vice Provost for Innovation (OVPI) and Tufts University focuses on developing Tufts’ innovation ecosystem, including convening the innovation community, cultivating intellectual assets, creating meaningful partnerships with external companies and institutions, and capitalizing on entrepreneurial opportunities for cutting-edge activity.
What You'll Do
The Event Planning Specialist is responsible for designing, planning and implementing events to engage and enhance awareness of research, scholarship and innovation at Tufts University. The Event Planning Specialist will be tasked with securing venues, executing event marketing, and making detailed arrangements to fulfill event objectives which enhance university relationships and promote growth.
Essential Functions:
Under general supervision, designs, plans and implements events for OVPI, establishing appropriate goals and strategies.
In consultation with the Vice Provost, develops program content, design concepts, audience, venue and implementation plans for events.
Manages logistics of university services including public relations, catering, facilities, and technology services. Serves as primary contact and negotiates budgets and contracts with external vendors for accommodations, products and services.
Drafts event budgets, monitors expenses and prepares reports and projections.
Develops communication and social media strategies for marketing the event. Develops marketing materials leveraging internal and external resources and managing the production schedule.
Manages the on-site event ensuring high-quality guest experiences. Oversees service providers and trouble shoots issues.
Implements event processes, standards, and measurements across all events. Completes post-event assessments to identify continuous improvement opportunities.
What We're Looking For
Basic Requirements:
Knowledge and skills as typically acquired through completion of Bachelor’s degree with 3 -5 years of related experience
Excellent organizational and project management skills, with the ability to juggle multiple priorities simultaneously under tight deadlines while keeping an attention to detail
Strong interpersonal, relationship building, and communication skills
Ability to work in a fast-paced environment
Ability to work collaboratively across multiple teams and manage various projects at once
Preferred Qualifications:
Digital marketing knowledge/experience
Higher education experience

This job involves responsibilities that are performed in a hybrid working environment. Some evening and weekend work required.
